Privacy Policy

This policy explains what Familist CPS Family Advocate ("we", "us") collects through www.cpsfamilyadvocate.com, why we collect it, and what you can ask us to do with it. It covers the website only. Information you give us once you become a client is governed by the confidentiality terms in your service agreement.
Please do not send confidential case details through this website. Web forms and email are not secure channels. Send only enough information for us to contact you; anything sensitive belongs in a call or a secure channel we set up with you.

We do not ask for, and you should not send, Social Security numbers, financial account numbers, case file numbers, court documents or medical records through this website.
2. Legal bases and consent
Where the law requires a legal basis (for example the UK/EU GDPR), we rely on:
- Your request — to answer an enquiry or provide a service you asked for.
- Your consent — for marketing emails and non-essential analytics. You can withdraw it at any time.
- Our legitimate interests — to keep the site secure and to understand how it is used.
3. Who else processes your data
We keep the list of third parties deliberately short:
- Our web host (GoDaddy) — stores the site and its server logs.
- No third-party form processor. What you type into a form is sent to a script on this same server, stored there, and emailed to us. It is not handed to an outside form service.
- Google Analytics — website usage statistics. Your IP address reaches Google. Analytics is only active once a measurement ID is configured; if none is set, no analytics data is collected.
- Google Fonts — the typefaces are requested from Google's servers, which receives your IP address as part of that request.
- Our web host's performance monitoring — GoDaddy automatically inserts its own monitoring script (
img1.wsimg.com) into every page of this site at the server level. This happens whether or not we enable analytics of our own, and we cannot disable it from the page itself. - A payment provider — if you pay for a consultation or training, the checkout happens on the provider's own site. We never see or store your card details.
If you choose to message us on WhatsApp, that conversation is governed by WhatsApp's own privacy policy, not this one.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
4. Cookies and local storage
This site sets no advertising cookies. It uses your browser's session storage to remember that you dismissed the crisis banner, so it is not shown again during your visit. That value never leaves your browser. If analytics is enabled, Google sets its own cookies; you can block them in your browser settings or with Google's opt-out add-on.
5. How long we keep it
- Enquiries that do not become clients — up to 24 months, then deleted. A copy of each form submission is also kept in a private file on the web server (not reachable from the web) so that an enquiry is not lost if e-mail delivery fails; these are pruned on the same schedule.
- Mailing list — until you unsubscribe.
- Client records — for the period required by the professional licensing and record-retention rules that apply to the clinician in Alaska and Ohio.
- Server logs — as retained by our host, typically a few weeks.
6. HIPAA
Some of what we do is clinical and is subject to HIPAA and to state confidentiality law. This website is not a HIPAA-secure channel. Information submitted through a web form or ordinary email is not protected health information handled under HIPAA safeguards until it enters our clinical records. Where HIPAA applies to a service we provide you, you will receive a separate Notice of Privacy Practices describing those rights.
7. Your rights
Depending on where you live, you may have the right to:
- Ask what personal information we hold about you, and get a copy.
- Have inaccurate information corrected.
- Ask us to delete information, where no legal or professional retention rule requires us to keep it.
- Withdraw consent to marketing, and unsubscribe from any email we send.
- Object to, or ask us to restrict, certain processing.
- Not be discriminated against for exercising any of these rights.
To exercise any of these, email familist@cpsfamilyadvocate.com. We will respond within the time the applicable law allows, and we may need to verify your identity first.
8. International visitors
We are based in the United States, and our host and service providers process data there. If you contact us from outside the US, your information will be transferred to and stored in the United States, which may not offer the same protections as your home country. By sending us your details you accept that transfer.
9. Children
This website is intended for adults. We do not knowingly collect personal information from children under 13 through the site. If you believe a child has sent us information, contact us and we will delete it.
10. Security
The site is served over HTTPS and we limit who can reach form submissions. No method of transmission over the internet is completely secure, which is why we ask you not to send confidential case material through it.
11. Changes
If we change this policy we will update the date at the top of the page.
